At EngageYourEmployees.com we go to great lengths to ensure the anonymity of every survey respondent. We understand that in order to get honest responses, there needs to be anonymity.
Anonymity means survey responses will not be tied back to individuals, i.e., no one will know "who said what." This is an absolute necessity for employee surveys.
Here are the steps we take to ensure individual respondents can never be linked to the responses in our survey:
1. All data is stored securely on our servers.
2. No one has access to the raw data other than EngageYourEmployees.com.
3. All our clients sign an anonymity agreement that prevents clients, no matter how much they plead, to gaining access to raw data or data that would identify a single survey participant.
4. All survey data will only be reported in aggregate form – never in a way attributable to individual.
5. We minimize the number of personal demographic questions on the survey. We recommend that our clients make the demographic questions optional and only the department and core questions mandatory.
6. When we generate all reports and data for our clients. We only report aggregate results and only when the minimum number of completed surveys threshold has been met for each group. The minimum is five respondents but the standard is usually between 5-10 respondents, though some organizations have gone as high as requiring 20. Minimums for verbatim reports are higher because of the potential of identifying respondents. Our minimum for verbatim reporting is 10 but our recommendation is 30.
7. Our agreement with our clients for protecting anonymity is enforced. We do not make exceptions. We enter into a signed agreement that sets out the minimum number of respondents in a group to generate data for both the survey questions and verbatim.
